Streamlining Maritime Operations: A Client Study on Transforming Bunker Management with BMS

From days-late noon reports to real-time fuel visibility: how automation transformed one operator's bunker management.

AbstractFaced with delayed reporting, manual vendor management, and inconsistent fuel quality tracking, a shipping operator needed an integrated solution for bunker management. Solverminds' Bunker Management System automated critical workflows from requisition and delivery to cost estimation and accrual: real-time noon reports from an onboard app, automated BDN matching, quality tracking with claims management, and flexible cost accrual using Average Rate or FIFO methods. The result: faster and more accurate reporting, better cost control, and streamlined vendor management.

The challenge: manual processes and operational bottlenecks

Key bunker management tasks such as tracking inventory, estimating costs, and ensuring fuel quality are often fraught with errors due to reliance on manual processes. For this client, reports were frequently delayed, inaccurate, or backdated: vessel masters could only send their noon reports, containing critical data about bunker levels, consumption, and voyage details, several days after the vessel had arrived at port. The delay led to poor decision-making, inefficient planning, and inaccurate cost estimations.

Operations teams also manually compared and approved multiple vendor quotations for fuel, causing approval delays and discrepancies in bunker deliveries. Inconsistent tracking of bunker quality left potential issues, such as fuel contamination, unaddressed.

The solution: BMS integration

Solverminds' Bunker Management System (BMS) streamlined the entire bunker management process, from requisition and delivery to cost estimation and accrual:

  • Real-time data integration: vessel masters send daily noon reports with fuel consumption and voyage updates through an onboard application, eliminating backdated reports and giving every stakeholder timely, reliable data.
  • Flexible cost accrual: daily, weekly, or monthly bunker cost accrual using Average Rate or FIFO methods for accurate inventory valuation.
  • Consumption and cost estimation: monthly estimated quantities and costs per vessel feed the accounting system and the company's P&L, linking bunker expenses to voyage and period-based financial reports.
  • Automated vendor management and BDN: bunker requisitions synchronize between vessel and shore; Bunker Delivery Notes are generated and automatically matched with requisitions, with voyage schedule changes reflected automatically.
  • Fuel quality tracking and claims: a fuel quality testing report is part of the BDN process; when quality falls short, the system streamlines claims and credit notes from vendors.
  • Minimized manual input: bunker requests are created automatically from voyage schedules, and vendor quotations are auto-compared on price and quality ahead of a simplified manual approval.

Results: the transformational impact

With BMS in place, the client achieved significant improvements: faster and more accurate reporting through real-time data integration; enhanced cost estimation improving financial planning; streamlined vendor management with minimal manual intervention and full alignment between deliveries and approved requisitions; and improved fuel quality monitoring with an effective claims process.

By automating key processes and integrating with the company's broader systems, BMS provided a solid foundation for strategic decision-making, enabling the client to maintain control over fuel costs, enhance operational efficiency, and drive better outcomes.

Solverminds' Integrated Bunker System is redefining how global shipping companies manage fuel costs, compliance, and sustainability: real-time visibility, predictive analytics, and automation that reduce bunker expenses, optimize voyage planning, and support tightening environmental regulations across international trade routes.
